To make a reservation, the company requires a 50% deposit of the total tour cost from the client, using our authorized payment methods (Visa, Mastercard, PayPal, or Bank Transfer). The remaining balance of your tour must be paid in cash or by card on the first day of your arrival in Cusco, in US dollars, to the staff member assisting you. To confirm the reservation, we will need the following information for each passenger: Full Name, Passport Number, Nationality, Date of Birth, and Gender.
We recommend informing us of any allergies, illnesses, passenger conditions, personal characteristics, dietary preferences, etc.
Once the prepayment is made, our sales agent will send you an email confirming your chosen tour package and your service contract. This email serves as a guarantee of your reservation. After receiving the confirmation, you should carefully review the contents of the email and the service contract and reply accordingly.
If your reservation includes overnight accommodations, hotel confirmations are subject to availability. If the hotel specified in the confirmation email is unavailable, you will be offered another hotel of similar category and price.
The company reserves the right to accept last-minute reservations (up to 48 hours before the client’s arrival). In this case, the company will expressly indicate the special conditions of the reservation, which may include special schedules. These conditions must be mutually agreed upon with the client and will be communicated via email.
Itineraries are planned with great care and attention; however, for operational reasons, it may be necessary to change the order of activities or the specified route. While such changes may be occasional, the itinerary should generally be considered only as a basic guide.
The company reserves the right to make modifications to the order of excursions or trips without prior notice due to weather conditions, river levels, arrival or departure times of airplanes, buses, or trains, or for any other relevant reason. These modifications are intended to ensure your safety and the best possible experience.
In the event that the activities on the itinerary are subject to changes, last-minute rescheduling, or cancellation due to flight delays, social unrest, bad weather, road closures, or any other inconvenience caused by third parties, the company is not responsible for issuing refunds to clients. However, the company is committed to assisting clients in making modifications or rescheduling their travel itinerary.
In the event of a pandemic such as Covid or similar situations, or any other unforeseen event, we are very flexible in our cancellation policies: If something happens during your trip and for any reason you are unable to come to Peru and participate in the tour due to flight delays or cancellations, social conflicts (strikes or riots), bad weather, road blockages, landslides, or any other inconvenience caused by third parties,
you will have the option to change and reschedule your tour and itinerary to any other date in the future, without any additional fees or charges. This request to change the date or itinerary must be sent by email 30 days before the start of the tour.
If a request to change the date or modify the itinerary is received 15 days before the start of the tour, it will be subject to an operational fee of USD $50.00 per person (subject to availability).
Changes to Waynapicchu and Machu Picchu Mountain entrance fees incur a US$15.00 penalty (subject to availability). Hotel date changes are subject to availability and the hotel’s policies.
Special Case for Manu National Park: Please note that Manu National Park tour permits are non-modifiable, non-transferable, and non-refundable. Dates and traveler information cannot be changed due to SERNANP government policy. The system is designed to manage limited capacity, therefore reservations are final. If you wish to change your visit date, a new reservation will be required, subject to availability.
Based on our experience, a certain percentage of reservations are canceled by the client before the start of their trip due to unforeseen circumstances, such as flight delays, social unrest (strikes or riots), bad weather, road closures, landslides, and any other inconvenience caused by third parties.
Cancellation penalties will depend on the date of cancellation, according to the following schedule:
30 days or more before the tour start date: 50% of the deposit will not be refunded.
29 to 16 days before the tour start date: 80% of the deposit will not be refunded.
15 to 0 days before the tour start date: 100% of the deposit will not be refunded.
It should be understood that these penalties apply because certain services, such as airline tickets, train tickets, Machu Picchu entrance fees, Manu National Park entrance fees, hotels, ecolodges, etc., are purchased and booked in advance, and many of them are non-refundable.
All refunds (except in cases of strikes and work stoppages) will be processed within a minimum of 7 business days and a maximum of 30 days, depending on the complexity of the case.
Refunds will be issued via PayPal or as credit for future bookings. The user will be responsible for transaction fees (5% PayPal).
We will retain the full amount and are not responsible for the customer’s no-show due to flight delays or cancellations. The company is not responsible for damage to or loss of luggage, accidents, unforeseen expenses, unavoidable delays, services provided by third parties, or direct causes beyond our control. In the unfortunate event of a no-show due to unforeseen circumstances, the company will provide the client with a certificate to process with their insurance company.
IMPORTANT NOTE: Should the client abandon the tour for any reason, any additional expenses are the client’s responsibility, and the company is not responsible for any refunds.
